Corporate Event Planning
Corporate event planning is somewhat different from event planning that involves a wedding or birthday. Sometimes, these events are small and intimate, involving only employees from the office but other times, the event is grander, including not only employees, but also vendors, suppliers, clients, etc. In the latter case, planning needs to keep the professional relationship in mind although that does not mean the even cannot be fun.
For corporate event planning, most people will use a professional planner, a person who has experience in putting an event such as this together. The first and most important step is to identify the exact purpose of the event. Even for business events, different themes and goals are involved. Some may be serious symposiums or conferences while others are events for a holiday, to celebrate the launch of a new product or service, or simply to bring everyone together to meet. Obviously, each of these events would have a different flavor and therefore, a different need.
Next, corporate event planning would involve getting a guest list together so a rough number of attendees would be identified. Along with names, information for contacting each invitee would be required. From there, the planner would choose appropriate invitations and get them ready to send out in the right time based on date of the event. Additionally, the budget would need to be set. Typically, a corporate event would involve money being spent but if the event is a tradeshow, then it could be an opportunity to make revenue.
Now, a date and time would need to be set so the corporate event planning professional can mail out invitations and begin the process of securing a location, food, music, etc. The chosen location would need to be large enough to accommodate everyone but also have the right setup that would work with activities associated with the event. Corporate event planning professionals will look at hotels, convention centers, VFW halls, local parks, and a number of other possibilities to find the right place.
If a room will be used, again the purpose needs to be considered, which might include a special speaker versus a luncheon. Even the room size and configuration should be looked at. If a hotel is chosen, management might offer a special rate if out of town guests stay at the hotel. The person in charge of corporate event planning will know the exact questions to ask for saving money while still getting an amazing location for the perfect venue.
One of the most important parts of planning any event is budget but most people will first determine the people that need to be invited so an appropriate budget could be established. Other aspects a professional for corporate event planning will handle include proper lighting, adequate parking to include handicap spaces if needed, audio or video equipment, special electrical needs, Internet connections and Wi-Fi, phone hookups, etc. Finally, corporate event planning will also make sure that any materials for the event are in place along with nametags, pads of paper, and pens.
